Take orders without retyping them, and price them the way you sold them

Distributors win on availability, price and responsiveness, and lose time to order entry, pricing exceptions and inventory that does not match the shelf. We build the tools that handle orders from any channel, apply your real pricing rules and keep branch inventory honest. Your ERP stays in place.

What the software has to survive

These conditions decide what we build before any feature list does.

Orders come in every format
Customers send purchase orders as email text, PDFs, faxes, spreadsheets and phone calls. Counter and inside-sales staff spend much of the day retyping them into the ERP.
Pricing is a matrix, not a number
Price depends on customer, contract, quantity break, vendor cost and sometimes a rebate paid months later. The rules often live in a spreadsheet or in one person's head.
Inventory drifts from the shelf
Bin locations change, receipts get posted late and counts fall behind. Sales promise stock that is not there, and purchasing buys stock that already is.
Branches run a bit differently
Each branch has its own habits, customers and local fixes. Transfers, will-call and delivery routes only work when everyone sees the same stock and the same orders.

What we build for wholesale & distribution

Order entry from email, fax and PDF
The system reads incoming purchase orders, matches the lines to your SKUs and customer part numbers, and creates a draft order in the ERP. Staff review exceptions instead of retyping every line.
Pricing and rebate management
We put your price matrices, contract prices and rebate programs in one maintained place, with an audit trail of who changed what. Rebates accrue as orders ship, so you know the liability before the claim arrives.
B2B ordering portal
Customers log in to see their own prices, current availability and order history, and reorder in a few clicks. Orders go straight into the ERP, which reduces calls and keystrokes at the counter.
Purchasing and replenishment
Reorder points and suggested purchase orders are based on actual demand, vendor lead times and seasonality. Buyers keep the final say, and see the reasoning behind each suggestion.
Inventory accuracy tools
Cycle count apps, scan-based receiving and bin audits run on handheld scanners or phones. Discrepancies are flagged and traced to their source instead of surfacing at year-end.
Branch transfers and availability
Sales see stock across branches and can request a transfer in one step. Branch managers see what is incoming, what is committed and what is sitting idle.

Questions buyers ask

Can you automate order entry from emailed purchase orders?

Yes, for most formats, with a person reviewing the exceptions. The system extracts the lines, matches them to your items and flags anything uncertain, such as an unknown part number or a price that differs from the contract. Clean orders go through, and the odd ones go to a short review queue.

Do we have to replace our ERP to offer a B2B portal?

No. The portal reads items, prices, availability and order history from your ERP and writes orders back to it. The ERP remains the system of record, and the portal is a front door for your customers.

How do you handle complicated customer-specific pricing?

We start by writing the rules down as they are actually applied, including the exceptions, then build them into a pricing service that quotes consistently across the counter, the portal and email orders. The first step is finding out how many versions of the rules exist today.

Can you improve inventory accuracy without a new WMS?

Often yes. Many accuracy problems come from receiving, putaway and counting practices rather than from the software. Scan-based workflows, cycle counting and discrepancy tracking on top of your current ERP can go a long way, and we recommend a WMS only when the layout or volume calls for one.
